Welcome Desk Associate, Admissions

Essential Duties and Responsibilities 


 

The Welcome Desk Associate is responsible for providing exceptional guest service. This role serves as the first point of contact for guests and visitors, creating a positive and inviting atmosphere. Compensation ranges from $ 13-14/hour per hour. Welcome Desk Associates may be scheduled for shifts anytime between 8:30 AM and 5:00 PM during Fall & Winter Term. As a Welcome Desk Associate, your primary responsibilities include but are not limited to: 

Greeting and Welcoming Visitors: 

  • Greet visitors and guests in a friendly and courteous manner.
  • Create a positive first impression by maintaining a professional appearance and demeanor.
  • Provide visitors assistance and directions as needed.

Phone and Email Communication:

  • Answer incoming phone calls promptly and direct them to the appropriate individuals or departments.

Visitor Registration: 

  • Register and sign in visitors for campus visits, issue visitor nametags
  • Notify staff members of visitor arrivals or appointments.
  • Composing daily visit bags with t-shirts and folders.

Administrative Support: 

  • Perform basic clerical tasks such as photocopying, faxing, and filing.
  • Assist with data entry.
  • Appointment Scheduling for Campus Visits.

Mail Handling: 

  • Sort and distribute incoming mail and packages.

Facilities Management: 

  • Follow opening and closing procedures.
  • Monitor and maintain the cleanliness and tidiness of the reception area.

Requirements:

Minimum Qualifications:

Welcome Desk Associates are expected to: 

  • Provide excellent Customer Service with a warm and friendly welcome to all visitors and guests.
  • Maintain a neat and clean working space.
  • Maintain a professional appearance, including appropriate attire.
  • Utilize office equipment, including phones, computers, and software applications, proficiently.
  • Maintain regular and punctual attendance.

Physical Requirements:

  • Must be able to lift up to 25 lbs.

Preferred Qualifications:

  • Have prior experience in office management or customer service.
  • Have been on campus for at least 1 semester.

Anticipated Schedule: 

  • Monday through Friday, 8:30am - 5:00pm, weekends as needed.
