Welcome Desk Associate, Admissions

Essential Duties and Responsibilities:
The Welcome Desk Associate plays a crucial role in providing a positive and welcoming experience for visitors and guests. Their primary responsibility is to manage the front reception area, ensuring that all guests and inquiries are handled efficiently and professionally. This role serves as the first point of contact for guests and visitors, creating a positive and inviting atmosphere. This job posting is for Summer 2026 - if you are interested

As a Welcome Desk Associate, your primary responsibilities include but are not limited to:
Welcoming and Hosting Campus Visitors:
- Greet visitors in a friendly and courteous manner as they enter our office.
- Create a positive first impression by maintaining a professional appearance and sociable demeanor.
- Provide visitors assistance and directions as needed.
- Ensure visitor needs are met during their time on campus.
Phone and Email Communication:
- Answer incoming calls promptly and direct them to the appropriate department.
- Check email inbox for daily messages on the visits to campus.
- Answer voicemails in a timely manner (the following morning for messages left overnight, as soon as possible for messages left during working hours).
Visitor Registration:
- Register and sign-in visitors for campus visits.
- Notify staff members of visitor arrivals or appointments.
- Composing daily visit bags with t-shirts and folders.
Administrative Support:
- Perform basic clerical tasks such as photocopying, faxing, and filing.
- Assist with data entry.
- Appointment scheduling for campus visits.
- Sort and distribute incoming mail and packages.
- Monitor and maintain the cleanliness of the reception area & conference rooms.
Handoff and Documentation:
- Welcome Desk Associates coming off a shift should provide a thorough handoff to the oncoming Welcome Desk Associate, outlining any ongoing issues, incidents, or tasks that need attention.
Requirements
Minimum Qualifications:
- Have excellent verbal and written communication skills.
- Be able to switch between tasks quickly and efficiently.
- Ability to manage check-in processes for multiple guests in a short time.
- Familiarity with Microsoft Outlook, Teams, and OneDrive.
- Ability to learn quickly and effectively.
Preferred Qualifications:
- Enrolled in Summer 2026 classes, or be enrolled for Fall 2026.
- Previous experience in customer service roles.
- Familiarity with Slate Technolutions.
- Federal Work-Study is preferred (limited non-Federal Work-Study positions available).
Anticipated Schedule:
- Monday through Friday; 8:30am to 4:30pm
